1. Review the request before responding
Start with Needs action in Calls. Read the caller's name, callback details and request together. The next-step label helps you scan the queue, while the conversation details provide context when the request is unclear. Treat any AI interpretation as something to check.
Distinguish a new appointment request from a cancellation, rescheduling request or question about an existing booking. Do not assume every mention of a time means the customer wants a new appointment. If the details conflict, ask the customer to clarify during your callback.
2. Check what the business can actually offer
Suppose a pet parent asks for a groom at 5 p.m. The requested time is useful context; it is not a reserved slot. Open your current booking system or calendar and check the service duration, staff availability, preparation time and any requirements that matter to your business.
When connected, Spikey can check selected Google or Microsoft calendars during a call. Availability can change afterward, and the dashboard does not preserve a separate historical availability snapshot. Confirm the current schedule before saying the appointment is booked.
3. Call back with a clear answer
Use the callback number and explain what you are following up on. A simple response might be: 'You asked about a full groom at 5 p.m. I have checked the schedule and can offer that time. Would you like me to confirm it?' If the time is unavailable, offer the alternatives your business can support.
Confirm the details directly with the customer and record the appointment through your normal booking process. Spikey does not place an automated outbound callback or create the calendar event when you use the Call back control; it opens the number for you to call.
4. Close the loop for the team
Mark the follow-up handled once your team has completed the required action. That updates its status in Spikey. It does not send a customer confirmation, book a slot, change an external calendar or certify that every detail was correct.
If you could not reach the caller and more work remains, keep the request open. Agree on who checks the queue and when, especially at opening and closing. Use All calls when you need to find earlier context.
